Managing Users

Users are the people who log into your Vigillo site. Users may be company executives, safety professionals, driver managers, employees, consultants or any other person you designate to access your account.

Note: The CSA Manager tab will appear on your Vigillo homepage only if you are an authorized administrator with a CSA subscription.

Sections:

Adding a User

  1.  Login to Vigillo. Click the CSA Manager tab located in the navigation bar.

  2. Click on the Users tab, then click the Create icon. 

  3. A pop-up window will appear. Enter the user information into the required fields.*

  4. Enter the New User’s email address.
    Note: This is the address the User will need to login to Vigillo.

  5. Create a password. 
    Note: User password must be at least 8 characters with an upper-case letter, a lower case letter and at least one numeric digit.

  6. Once all information is entered, click Save

  7. Notify the New User of their Login and Password information.

Note: Fields denoted by red asterisk mark (*) are required fields.

Adding Multiple Users 

You can add multiple users by importing a spreadsheet with a list of users.

User Roles

What do different user roles mean? How do I assign different roles to a user?

Users are the people who have access to the Fleet's Vigillo site. Users may be company executives, safety professionals, driver managers, employees, consultants or any other person.

Roles are how you assign different administration rights to Vigillo site users. Your users can only see the roles you assign them. 

The ability to assign Roles is only available with the Vigillo Driver Data Manager, Inspection Management System (IMS), or the Vigillo Pre-Employment Screening Program (PSP).  

Descriptions of user roles: 

  • Administrator: This user has full access to the Administration area of your Vigillo site. This role is available with Driver Data Manager, IMS and PSP.
  • Custom Groups Manager: This user has access to the Users tab, Drivers tab, and Custom Groups tab. This role is available with Driver Data Manager and IMS.
  • Driver Manager: This user has access to the Admin tab and Drivers tab. This role is available with Driver Data Manager and IMS.
  • Group Manager: This user has access to the Admin tab, Users tab, and User Groups. This role is available if you are the Administrator for your Vigillo site or a user authorized by your Administrator.
  • IMS User: This user has access to the Admin tab, IMS tab, Drivers tab, Vehicles tab, Inspections tab, and  VigilloQs tab. This role is available with IMS.
  • Inspection Manager: This user has access to the Admin tab and Inspections tab. This role is available with IMS.
  • Parallel Universe User: This user has access to the Vigillo Parallel Universe software. This role is available with Daily Updates and IMS.
  • PSP Converter: When a user is assigned the role for PSP Converter the user will see a link to download the PSP Converter System on the Vigillo Homepage once logged in. This role is available with PSP Converter.
  • PSP Manager: When a user is assigned the role for PSP Manager the user will see a PSP Section with Search for Driver button on the Vigillo Homepage once logged in. This user has access to Admin tab and Users tab. This role is available with PSP.
  • PSP User: When a user is assigned the role for PSP User the user will see a PSP Section with Search for Driver button on the Vigillo Homepage once logged in. This role is available with PSP.
  • User Manager: This user has access to the Admin tab and Users tab. This role is available if you are the Administrator for your Vigillo site or a user authorized by your Administrator.
  • Vehicle Manager: This user has access to Admin tab, Vehicles tab. This role is available with IMS.
  • VigilloQs Manager: This user has access to the Admin tab and VigilloQs tab. This role is available with Driver Data Manager and IMS.

Assign different roles to a user: 

  1. Login to VigilloClick on the Users tab located in the CSA Manager.

  2. Click on the Edit icon to the right of the driver whose status you would like to change.
    Alternately, you can double-click on the user's name.
  3. A pop-up window will appear. 

  4. Click on the Roles tab. You will see a list of all available roles. 

  5. Check the box to select the appropriate role(s) for the selected user. 

  6. Once role(s) are selected, Click Save

  7. Inform user of new role(s)

NOTE: You will only see the roles you have been assigned and may assign these roles to other users.

Deactivating a User

  1. Login to VigilloClick on the Users tab located in the CSA Manager.

  2. Click on the Edit icon located to the right of the User you would like to deactivate.
    Alternately, you can double-click on the user's name.

  3.  A pop-up window will appear.

  4. Un-check the “Active” box. 
    NOTE: A user must be active before you can deactivate them.

  5. Click on Save. Deactivated users will appear on the users list in PINK.
    NOTE:  An inactive user cannot log into your Vigillo site.

Creating a Custom Group

Custom Groups allow you to structure your driver scorecards around your companies organization. You may have any number of different “groupings”. For example, you might organize your drivers by Region, Division and Station so that driver scorecards will be structured this way. In addition you can give access to users (your managers and supervisors) at any level so for example they can only view drivers that report to them. 

To create a Custom Group, you must first create a Custom Driver Field for the group:

  1. Login to VigilloClick on the Drivers tab located in the CSA Manager.

  2. Click on the Customs Fields icon in the upper right hand corner.

  3. ​A pop-up window will appear that will allow you to edit Custom Driver Field.
    From here, you may add, remove or create a Custom Driver field.

  4. Edit/Add the Custom Driver Field to the name you choose.

  5. Click Save.

Once the Custom Driver Field has been added/edited:

  1. Click on the Custom Groups tab located in the CSA Manager.

  2. Click Create icon in the upper right hand corner.

  3. Create your major DOT Custom Fields

  4. Click Add, then select the Custom Fields in the order you would like them shown. 
    Please note that the order of the Custom Fields below will define the resulting hierarchy.

  5. On your driver's import list, create the same Custom Fields (per DOT), then re-import each list.

NOTE: After making changed to drivers or users in Custom Groups, you must click the Apply Changes icon to apply them to your reports.

Adding a User to a Group

  1. Login to VigilloClick on the Users tab located in the CSA Manager.
    Users will appear on the left-side, and User Groups will appear on the right-side of the page.

  2. Click the user you would like to add to a group, then drag and drop the user on to the desired group.

  3. A pop-up window will appear.

  4. Click Yes to confirm you want to add the user to the selected group.

  5. To add the user to another group or to add any additional user to the group, repeat above steps.

NOTE: To confirm appropriate groups were added to a user, click on the black triangle icon located to the left of the user name. The box will expand to show all groups the user has been added to. This step is interchangeable, you may expand the triangle next to the user name or group name.
